M365 Licensing - Why the Change?

UBC is optimizing its Microsoft 365 (M365) licensing enhance security, compliance, scalability, and to align with our fiscal responsibilities and support strategic goals. This change enables more efficient collaboration and secure access to web-based tools while managing costs.

What’s Changing?

Some groups will transition from the desktop (A3) version of M365 to the online (A1) version, which offers access to M365 apps online and via mobile. Exceptions to this transition may incur additional costs for faculties or departments, details to come. There will be no change to Emeriti who will continue to receive an email-only license.

Who’s Impacted?

  • A1 License: Non-Salaried Clinical Faculty and those whose roles don’t require extensive computer use.
  • A3 License: Full-time and part-time faculty, staff, students, and student employees.
  • Email-Only License: Emeriti Status appointments.
  • Guests and Contingent Workers: Licensing requirements are currently being reviewed.

When will this happen?

These changes must be completed by March 31, 2025, when UBC’s licensing grace period with Microsoft ends.

Which M365 Package Am I Eligible For?

Your M365 package depends on your official role at UBC, as defined in Workday:
